GTA Cancellation Policy

Cancellation terms depend on the type of service booked. Find the relevant category below to see the applicable window and fee.

Important

Itineraries over 1,000,000 JPY

Key conditions

These conditions apply across the whole itinerary as well as to individual services.

Scope of the policy

The cancellation policy applies both to the itinerary as a whole and to each individual service within it.

Changes to the itinerary

If the itinerary is subject to change, J-CAT will inform guests of the deposit payment deadline, and payment is requested by the due date.

City tours are final once the policy takes effect

We respectfully inform our valued guests that once our cancellation policy takes effect, all arrangements for a private tour are considered final. At that point we are no longer able to accommodate adjustments — including changes to the date or time, the itinerary, or the number of participants.

As each private experience is meticulously prepared to your specifications, we appreciate your kind understanding and cooperation.

Deposit & payment

Please settle payment through one of the following two methods for every confirmed itinerary.

Option 1

Deposit payment + balance payment

A 30% non-refundable deposit is paid first, and the remaining balance is paid no later than 33 days before the start of travel.

Option 2

Full payment

Subject to the applicable cancellation policy thereafter.

Details of Option 1 — Deposit payment + balance payment:

Itinerary fixed
30% deposit
33 days before
Balance due
Travel starts
Step one
30%of the total amount

Requested as a deposit when the itinerary is fixed. The deposit fee is non-refundable, separately from the cancellation terms of each individual service.

How to display the QR code for collecting shinkansen tickets

Displaying the QR code at the ticket vending machine. A reference video, “How to Use the Ticket Vending Machine” by Eastern Japan Rail Magic, is also available.

1

Go to the ticket vending machine

Find the ticket vending machine at the station — it looks like the one shown here, with the screen panel and the QR camera reader at the lower right.

2

Follow the instructions on the screen and issue tickets

On the screen for receiving tickets reserved via JR-EAST Train Reservation, look to the right and press “QR code or pickup code”, then hold your QR code over the camera reader at the bottom right.

If the QR code will not read, press “Enter pickup code” and enter the code (up to 17 digits). Finally, confirm the reservation details and press “Issue tickets for this reservation”.

Boarding directly with a QR code

Finding the Shinkansen entry gate and passing through it with your QR code.

1

Where can I find the entry gate at the station?

Follow the blue sign shown below.

2

Boarding the train

Scan the QR code to pass through the gate.

If the QR code doesn't scan, use the metal plate. If it still doesn't work, ask the on-site staff for help.

3

Seat information

Retrieve your seat information at the gate and show it to staff if needed.

4

Scan again when exiting

When exiting, remember to properly scan the QR code to pass the gate.
